Introduction
During, and even before a project commences, documentation plans are presented which are used as the basis for the project outline and its activities. Such a plan includes resources to be used during the project, and also how to manage the details when implementing a project. These details, as well as why such documentation is necessary, and how the plan takes part in making the project successful, are discussed herein.
When managing a large project, it is important that critical resources are available and utilized for the completion of the project in every critical task. Part of the problem is when more resources are used unnecessarily, or more resources are required than available. This often leads to project backlog, and can delay the scope of the project being carried out, leading to scope creep. One of the ways to avoid this is to make sure that resources are allocated to designated individuals who distribute and utilize resources according to the documentation plans, as discussed below.
The project often has interdependent tasks, which cause resources to be distrusted between two different teams, or for two different purposes. If a project schedule, or documentation plan, outlines the work breakdown structure, including what is to be used where, and for how long; this clarifies greatly the responsibility for those involved in the project. It also allows for the project manager to keep track of managing many tasks simultaneously, and allows workers to complete tasks more efficiently. The success of projects often depends on the approval of important personnel who are involved in and with the project.
Without such documentation or schedules, the project cannot move forward smoothly, the project scope will have to be redefined, and workers will be at a loss on how to move forward with the project in a harmonious manner. Identifying and defining the tasks and breaking them down into basic operations allows detailed scheduling and planning which serve as a basis to predict and control the effort of employees and also to develop contingencies.
As aforementioned, the planning and scheduling of tasks on paper is critical to performing them on site. For this to be successful, it takes the effort of employees, the dedication of workers, and the managing skills of project managers. Developing strategies which provide the necessary information without extending any critical tasks or overlooking important details in the planning stages is a crucial element in successful management. For this to be effective, managers have the responsibility of ensuring that these important tasks are carried out and completed.
The development of a detailed schedule is both complex and necessary. First of all, it is complex to organize all the resources, people and external compliance needed to allow the project to move forward. This is managed by the project manager, as it is their chief responsibility, but can be made easier with the assistance of other leaders and employees. Secondly, the detail is needed to ensure that the project schedule is matched by project involvement. This allows for workers and employees to work together as a team and achieve harmonious project management.
Coordination is also a big factor when project managers are organizing the project documentation plans centred around the completion and execution of the project. This allows for centralized control of permitted activities according to the project schedule, as stipulated by the project manager. Once this has been followed, the project manager is able to move to a more holistic approach of overseeing the work.
Quality of work output is also important when undertaking the management of a project. If tasks are completed in a shorter amount of time then projected, but is not up to the standard of quality expected, than both the project manager and the workers will receive a bad return on investment.
However, it is better for a project to stay on course, and even finish completion after the estimate time, if need be, and achieve a higher standard of quality, than to deal with and resolve poor quality post-project completion. Controlling the quality of construction avoids enforcement delays and enhances success of ongoing efforts within the project itself. This reflects well on the project manager, as well as those involved.
Within the plan itself, there are sub-plans that relate to the tasks and sub-tasks that are interrelated and have great importance in completing the project on time and on budget. With this in mind, project managers have a duty to ensure that these are completed with attention-to-detail, and without negligence. This ensures that project milestones are met, and contingency plans are reserved, leading to a greater chance of success.

In summary, project schedules, also known as documentation are used as the basis for the project’s implementation and success. Such a plan includes resources to be used during the project, and also how to manage the details when implementing a project. These plans are necessary, in order for the project to proceed as intended, employees and workers to reach project milestones, and for the scope and completion of the final project handover to eventuate. Without such a robust plan, these details would not be accomplished. With such a plan followed in detail, there is a greater chance of project success.
