Messages form a means of communication between people in different aspects of life. The composition, sending, and reception of the message require the awareness and communication of both the recipient and sender of the message. The sender of the message must be aware of the tone of the message he/she is composing and ensure that the point of the the message is well addressed. The recipient of the message has no choice of the messages received, therefore, should be open to feedback both positive and negative messages accordingly. The receiver should be very keen on every message received to deceiver the tone, point, and the intention of the message to be able to give a feedback that corresponds to the received message.
When communicating using messages, communication becomes critical in that the way a message is composed and received determines the way other people view it. Messages targeting a specific audience need framing so that essence of communication is achieved. Messages are used to inform, persuade or seek action from the receiver. A message can be defines as a form of communication between the sender and eh receiver that reveals the senders thoughts and opinions. When the message is received, the receiver should be able to comprehend the message and determine the meaning of the message. There are exists different types of messages targeting specific audience. For example we have persuasive and action messages. Persuasive messages are sent with the intention of changing the recipients’ mind and opinions whereas action messages encourage the receiver to act exclusively. Message communication is crucial in business field like many other fields. This is because; business entails many transactions with different customers located in different regions. This essay will discuss three business related messages and provide a response to one of the messages.
Business related message#1
Professor Colemoore, the CEO of safari park hotel sent an e-mail four days ago to inform the executive committee of the meeting to discuss order and delivery of the hotel utensils.
The message read; “I would like to schedule a short meeting on fourth may 2012 at 2p.m. -4p.m. at the hotel conference room to discuss the order and delivery of additional utensils. During the meeting, we shall also welcome new executive officials, and the director of MSURE, our new supplier of hotel equipments.” Thanks in advance.
In this scenario, Prof. Colemoore is the sender of the message and I am the receiver of the message in this communication process. Prof. Colemoore, is the initiator of communication and he determines the intent of the message. The message is very clear and is intended to prepare the executive committee of safari park hotel of the meeting to discuss ordering and delivery of the hotel equipments and utensils. In addition, the meeting will involve welcoming of new executive members and the director of the company that supplies the hotel with hotel equipments. The point of the message is very clear with the tone official. The message is sent via e-mail, this was selected because e-mail is faster and one message can be forwarded to many people at the same time. Given that the message was meant for many people, e- mail forms the best method of delivering the message. The sending and reception of the message is free from noise hence the message was not interrupted in any way. For this kind of message, the feedback can be the confirmation by each executive committee member he/she will be present during the date of the meeting or not. The feedback can be through e-mail as well.
Business message #2
Dr. Jay Schrader, IT manger of an online company sent me the e-mail four weeks ago reading as below
“WORK right from your home with a great business
Greetings Joshua – NOW is the time to reach for the BEST…
Learn how you can make money, without leaving the comfort of your home,
With a proven system like no other…….
Online survey pays more than you can imagine!”
In this scenario, Dr. Jay is the sender of the message and I am the receiver in this communication process. The purpose of the message is to invite me into a business of working from home. This is a kind of persuasive message because it has very sweet tone and its framing sounds good to me. The message intends to change my thoughts and opinions about working from home and make money. Since the business is online, invitation through email is important.
The feedback to this mail is either to accept to and begin working from home or to decline the invitation to this great business. Online messages especially e-mails are noise free and are clear. They are not biased and are reliable.
Business message#3
I received the letter from James the CEO of Faulu bank informing me that I may qualify for a loan for business expansion. The message read.
Hi Joshua,
“This is to inform you that you may qualify for up to a $5,550.00 business expansion loan. Take the next step in your new business. Pick your area of business competence and find the right business venture for you”

James.
James is the initiator of communication and the sender of the message and I am the receiver of the message in this communication scenario. The letter is written in a professional tone and intends to lure me to take a loan for any business I am competent in. The environment with which the letter is presented is conducive considering the tone of the letter. Considering the purpose of the message, the letter forms the best means of delivering this message. This is because a letter can be filed for future reference. Additionally, the letter is reliable and cannot be changed
The feedback I gave was also in the form of the letter and it read:
Hi, James
I read your letter with a lot of concern and I was pleased with the services you are offering. I am indeed in dire need of funds to expand my electronics business, which is at the verge of collapsing. I believe you have come at the right time for my rescue therefore; I will be coming to your offices on Monday 29 July 2012 to discuss how you can help me expand my business.
