To be successful in the business world, one must be able to turn out business messages and presentations that are concise, clear, and vigorous. In this paper, I will concentrate on techniques to achieve those qualities.

Revising Your Message

Revising involves improving the content and sentence structure of the messages. This requires a little practice to develop skills. One should check format, complete, targeted content, appropriateness, unity, coherence, conciseness, grammar, consistency, diction, accuracy and effectiveness to revise messages. Do not tackle every revision aspect in one pass. Give a few passes to catch every angle.

Producing Your Message

Naturally, the production task varies widely, depending on both the medium one has chosen and the degree of formality he/she needs to achieve. In the simplest media, such as text messaging, one has virtually nothing to do. Moving up to instant messaging and e-mail, one can control a variety of aspects, such as type size and color. With documents prepared with a word processor, one’s options multiply considerably – particularly if one plans to deliver the documents electronically.

Proofreading Your Message

Nothing takes credibility down a few notches like a document brimming with misspellings, errant spaces, unnecessary punctuation, and wrong page numbers. Proofreading is the final phase in wrapping up the communication. This process includes zeroing in further on grammar, spelling, and appropriate punctuation.

Distributing Your Message

Consider cost, convenience, time, security, and privacy when choosing the method to distribute the messages. Cost is not a major issue for most messages, although production, printing and distribution of lengthy or complex reports can be a concern. In general, balance the cost with the significance and need of the message. Make sure the distribution method is convenient for audience. And finally consider security and privacy issues that contain secret information.
