Creating a Data Recording System for a Small Independent Healthcare Organization

Introduction

Record keeping data operations are designed to specifically impose on the need of organizations to keep information about their operations and their clients and/or stakeholders. Such information is specifically embedded on the core culture of the organization and how they are prepared to provide the needs of their stakeholders. Considerably, the project that is being proposed herein is directly considered to make a definite indication on how an independent healthcare institution would be able to keep records of the clients that they are serving in particular communities. Given that the organization engages in certain community-based operations, it could be observed how hard it would to recall the individuals based on written records alone. Considering too the number of individuals that the organization wants to serve, being able to access information on a fast basis is an important aspect of the organization’s desire to be of good function to the society. Presented herein are some of the basic data regarding the project and the issues that are included in consideration with its application and implementation for organizational use.

Project Scope

The scope of the project includes the creation of a viable program that allows an organization administrator and some appointed staff to encode and access particular information about certain patients that they serve in different communities. The program to be created is expected to perform like EHR or electronic health record system that are designed to make a definite impact on the operation of larger healthcare institutions that serve as a centralized system especially when it comes to observing how each patient is served based on their needs and how every staff responds to the call of providing ample healthcare operation on the individuals needing attention. However, unlike the intricate operation that EHR provides healthcare institutions, the program to be created under this project shall only keep major records of the patients and some of the important procedures that the patients have undergone during the most recent times that they were given attention to by the institution. Unlike EHR recording system though, it could be assumed that the program to be created shall not be as widely scoped especially that it only entails to keep records and not immediately update them through a network of authorized operators.

Purpose of the Project

This project is dedicated towards the creation of a more defined process by which an independent healthcare organization serving a particular community would be able to keep records and keep track on what their patients and/or clients’ health status may require them to become more efficient in completing their mission for the society they hope to serve. Creating this particular program for the organization is hoped to create a more definite impact on what needs to be completed by the organization in response to the health needs of the people they assist. With a good recording platform, the people being served and the administrators of the business would be able to find a connection that would best suit both their needs hence benefiting from this new form of IT management approach. To note, here are some specific purpose statements that could be considered for this project:

  1. To create an expansive system that allows organizational administrators to find a more effective way on how to define their operations through knowing their patients’ needs.
  2. To create a centralized system to be accessed by authorized personnel for reference on particular medical information that needs to be given attention to when tending to the healthcare needs of a patient.
  3. To impose the effective utilization of IT management to develop the operational competence of the organization

Target Customer Base

With an independent healthcare institution as the primary stakeholder of the project, it is assumed that the ones they are serving shall also be affected by the changes and developments that the project shall impose. With the implication of a new system, the institution is expected to make a better impact on how they are to serve the society and the healthcare needs of the people living in it. Listed below are some of the business and technical needs that are to be supported by the project:

Business Needs

Given that the organization chosen to be served is more of a social-volunteer organization than a business, this projected is highly concerned in responding to the desire of the organization to serve more in a much efficient and competent manner. It is then indicated that the project is dedicated towards giving the organization an initial capability of providing the best healthcare service that the society needs rather than making a system that would aid them in becoming more competent and capable in earning monetary returns for their social operations.

Technical Needs

Every organization needs to have an IT managed operation. In this case, the institution is expected to embrace the new approach to organizational management especially when it comes to manifesting good indications on how IT systems are supposed to make a definite impact on how one institution operates as response to the value of its clientele. As for the organization being served, implicating an IT-based system of records-keeping does provide a more refined assumption on how each member of the group could perform best for the values of the clients or patients that they hope to assist.

Boundaries of the Project

As mentioned earlier, this project would be more concerned on records-keeping process. Doing away from the complexities of the project due to time constraint has been one of the reasons why such a limited function for the program is chosen. While the program is expected to enable the organization to keep records in an organized manner and be able to access the information whenever needed, it is not expected to provide any financial records that could help the organization assume its standing in being capable for further supporting the needs of its patients. While it shall provide a space for the recording of the available medical supplies of the intuition during particular inventory operations, it does not provide ample information as to when or to who particular medicines have been released to.

It shall only be able to provide ample health record of the patients served at the time but not that of the regularly updated file for each individual in the database. It is used only within the organization and is not networked outside or online for particular staffs to access from outside the institution’s headquarter-boundaries. With this in consideration, it could then be realized that the operative function of the project is only to be regarded upon within the boundaries of the headquarters of the organization and could not be taken out. This approach is chosen to assume the security of the database and the information kept in it. Taking this aspect of development into consideration, the role of the program is then defined to be accessed only by authorized personnel and shall not be carried on outside the boundaries of the organization meaning that the primary recording of information shall first be written [while in the field] and then later on be encoded into the system by authorized operators only.

Coding Standards

The project to be created shall solely focus upon readability and usability. To avoid more setbacks on the process of implicating the system towards the operation of the program, the project is directed towards making the system more user friendly especially considering novice computer-system users. Assuming the course of development that the organization is to take into consideration along with the changes empowered through this IT programming approach, it is essential to help the administrators ease out on the pressure hence to support this need, the project shall be considering strongly the need of the program to be user friendly. In correlation to being user-friendly, the coding standard to be imposed in the project shall also involve a direct indication on how efficient the program is when handling particular technical difficulties and how easy it would be for users to troubleshoot common problems that they may encounter as they use the program.

Version Control Policies

The version of the program system to be created could be updated every now and then depending on the growing needs of the organization. Most likely, it is expected that these developments shall depend on the number of patients that the organization intends to serve and the increase that they undergo every year. Created under the latest version of Java Developer Kit or Net Beans, the program shall only run with the latest version of windows and/or Linux Operating System. This means that for the program to run, the organization administrators should be able to incur new and updated computer setups that are designed to make a definite impact on how the program shall be of better function for the institution.

Significant Risks

The only risk that could be considered as part of the project is the compatibility of the system requirement of the program and the actual computer specifics of the organization’s computer setups might not be in full balance. Understandably though, such issues could be dealt with perfectly through the use of particular adjustments. At this point, such issues should be better understood specifically especially in relative connection with the preparation of alternative operations that the creator should consider during the program development schedule.

Summary

Independent organizations such as the ones dedicated to serving the needs of the society need all the help they could get to make sure that they are able to provide the function that they are supposed to give the people. Relatively, it could be seen how evidently important such help would be for such an institution. This is the reason why it has been the choice of the project creator to make sure that the beneficiary of the program would be somewhat worthy of the directive assumption of the IT operation being produced. Understandably, the role of the independent healthcare institution to be served in the project would be able to pass on the benefits of the project to the community they serve.
