A Document Management System (DMS) is an essential tool for any business. A DMS can assist a business in the management of information through collection, extraction and analysis of information. It is important that a business effectively manages information so as to enhance the decision making process. In order to ensure the DMS is fully set-up to cover all the business’ needs, it is important that the appropriate inputs are selected and adequate resources collected when composing the outputs of the requirements for the DMS.

Systemic Redundancies

The DMS can only be effectively used when it is at its optimal performance. This means that all the required outputs of the DMS have to be identified in full. These facets of information represent certain facets of the business. Without adequately analyzing this information as a result of an inadequate output requirement for the DMS, these facets of the business will not be adequately developed and/or managed. Information pertaining to these sections would be inadequate or incomplete. This presents a situation where business systems and process will experience given levels of redundancies.

The Decision Making Process

Management requires information so as to make the appropriate and most ideal decisions relative to their goals, vision and mission. This can only achieved if the output data from the DMS is complete, precise and accurate. In order for this to be, all the appropriate inputs have to be selected and all the resources gathered so as to obtain all the essential outputs requirements for the DMS.

In conclusion, it is important that a business effectively manages information so as to enhance the decision making process. The DMS can only be effectively used when it is at its optimal performance. The DMS can only be effectively used when it is at its optimal performance.
