Case Description and Background

The materials manager has been given the assignment to develop a just-in-time inventory system for the hospital. The hospital has 120 beds and is located in a medium-sized community in the Midwest. The hospital has contracts with multiple major suppliers, all who have Internet-based ordering. The program for the materials management department software has to interface with the operating room scheduling system. Included in the need is a way to denigrate the supplies from each department, charge the patient, and send a report to materials management when the par level needs to be replaced. The expectation is that supplies can be ordered each day and be delivered within 12 hours from the warehouse.

System Components in Concern

Software

The software program to be used for recording the data and improving the ways by which it is kept in storage specifically identifies well with the need for the entire operation to be dependent on the inventory itself. The software’s integrity is based on the capacity of the operators to make the best out of the benefits that such program provides especially in keeping up with the data that is needed to be kept and managed accordingly. Noticeably, It could be realized that with such software applications, the possibility of increasing inventory reliability is rather extensive and effective in providing the needed data that would prove the while system’s capacity to provide the information that could largely affect the ways by which modern operations of inventory keeping is handled and managed in the hospital.

Regarding the case, having a working software that increases the competence of the hospital to immediately give attention to the supply-needs of the organization as it faces the increasing demand for development and improved service that directly improvises a sense of distinction that best implicates a sense of control especially on the aspect by which the hospital is able to send out a call that defines the capacity of the organization to become more effective in responding to the needs of its people and the patients immediately as needed.

Hardware

The hardware that should be involved in the process of handling hospital inventory includes connected or networked gadgets that are distinctively able to correlatively coexist between each other through creating a communicable operation. For instance, during the actual inventory schedule, inventory operators ought to be given the connected gadgets that are sourced out to be networked towards the main server where the inventory program is installed. The immediate inventory update systems specifically create a definite distinction on how the data stored in the system is improved and how well such operation is able to mandate the type of data needed to create a definite instance by which immediate reports could be assumed and support systems as well as facilities are scheduled immediately for delivery once the need arises.

Compatible hardware systems that are to be used for the whole inventory program ought to have a distinct impact on how the whole data is given attention to and how well the storing of data is managed accordingly. Most likely, it could be realized that it is with this aspect of development that the emergence of effective data management could be given attention to. Inventory operators and supplies control managers ought to be given access to the whole program; their cooperative stance on how the whole program is to be given attention to as it is being utilized by the organization creates a mandating system by which information is used thoroughly and inventory of supplies and facilities are handled according to the needs of the organization for them to function well for public they hope to serve.

Data

Managing of data is needed to be given attention to, especially by onsite operators. Constantly checking on the data inputted into the system allows the emergence of constant application of update that is needed in order for the operation to be fully functional. Immediate alarms that could be set to be put on when a certain need for supply delivery is required and/or facility maintenance are highly recommended.

The data that is kept in the system also increases the capacity of the hospital to become more dependent on the supplies kept within the storage area of the hospital. Relatively, it could be understood that somehow, the management of the data kept in store could actually provide the management a better vision on what supplies need to be replenished immediately. It is with such vision that the storage of particular supplies are kept at bay and somehow supportive of the actual needs of the hospital according to the time and the demands of the public that they are serving at the time.

Procedures

What constitutes good inventory procedures? On time update and regular evaluation of records kept in the system is an efficient way of improving the procedures that are given attention to when aspects of proper inventory operations is considered. Relatively, these procedures are designed to impose a definite insistence on how the individuals involved in the operation are given a proper sense of what is meant by cooperative working between each other.

Practically, the procedures of inventory completion intends to engage every working employee into the ideal process of redefining the integrity of the hospital in relation to keeping their supplies at a relatively distinct number or quantity that would definitely involve a practical manner of serving the public with what they need within the right span of time they are given. These inventories and the records representing them aim to become more effective in giving immediate response to the needs of the patients at the right time to avoid distinct problems due to supply scarcity later on.

People

The people involved in the process needed to be trained accordingly. Letting them know what they need to do and why they need to do it with full control of the situation is a necessary condition that needs to be given full attention to. Relatively, empowering the people with the right knowledge and motivation they need in order for them to function fully and in relative connection to the actual inventory kept by the hospital would make the whole system work fully for the benefit of the organization utilizing the said operation accordingly.

Conclusion

Collaborative work between the five elements of system operations noted herein affects the overall inventory system’s capacity to serve the needs of the organization and that of its clients and other stakeholders. Understandably, it is with the effective management of resources and operations that the manner of improvement in the field of keeping an effective inventory for the sake of further increasing the integrity of the procedures that the hospital engages with becomes fully functional and effective.
