Introduction

ACME Development Corporation (ADC) is an organization that develops custom homes and apartment complexes. The company has decided to standardize its project management practices and processes though a contract tender across its national organization.  The company entered into contract with symphony IT Systems Company to support its strategic goal of standardizing one single project-scheduling tool. The tool will also be installed and expected to be operational within 90 days. For the company to provide a timely feedback to us, it will be expected to focus more on developing a project that provides a simplified quality approach to our organization. Symphony Company uses its IT systems as a platform of communicating the new technological developments in various sectors of economy. It also observes the importance of collaborating with concerned clients to come up with tailored solutions for consultancy services in technological developments and innovations. In order for ACME Development Corporation (ADC) to accomplish its project successfully Symphony company will be responsible for the purchase of hiring technicians for installing and configuring the software and hiring a training entity to teach the students of Project management the mechanics of using the new tool. Symphony will ensure effective purchasing of a new server and software to run the tool and house the project database, hiring tool usage experts to transfer knowledge to the project management students’ about the use of the tool on the job for the first 60 days after going live.  The symphony company will also accomplish planning for the removal and disposal of the scheduling tool software and hardware that are no longer used. ACME Development Corporation (ADC) expects that project will result to the company’s advancement on technological systems as well as leading to a multi-tiered approach of getting more customers. The procurement manager expects to develop and implement a standardized procurement process whereby a Web-based solution seems likely to be the most successful tool.

Scope of work

The scope of work for standardizing one single project-scheduling tool by the symphony company will include hiring, execution, transfer, training, implementation and planning of the project to be operational within the set time framework. The scope of work will be helpful to the company in the contractual and bidding processes of the purchase of hiring technicians for installing and configuring the software and hiring a training entity to teach the students of Project management the mechanics of using the new tool. Symphony will ensure effective purchasing oa new server and software to run the tool and house the project database, hiring tool usage experts to transfer knowledge to the project management students’ about the use of the tool on the job for the first 60 days after going live.  The symphony company will also accomplish planning for the removal and disposal of the scheduling tool software and hardware that are no longer used. ACME Development Corporation (ADC) expects that project will result to the company’s advancement on technological systems. The successful bidder will also be tasked with design of web-based solution that will seem likely to be the most successful tool for ACME Development Corporation (ADC). During the contractual and bidding process, each stage will be requiring approval from the ACME Development Corporation (ADC) board of directors before proceeding to the next stage. The contractor is expected to have adequate resources for each purchasing process and for the implementation of the web-based design solution. Testing of the one single project-scheduling tool will be done to ensure that it will be operational.

Performance period

The period of the performance that the standardization of this project is expected take is three months (90 days) beginning on 15th August to 15th November. The work performance of the project is expected to be operational within this time framework of 90 days because this is the period of performance that was formulated and approved by the ACME Development Corporation (ADC) board of directors. Any need of extensions or adjustments by the contractor due to external requirements or government regulations will be reviewed and discussed between the contractor and the procurement officer then referred to the board of directors. The contractor will be expected to strictly adhere to this time framework because any delays could lead the projects’ costs to increase and the company does not expect this to happen.

Place of Performance

The selected contractor will carry out performance of work on all the processes at the ACME Development Corporation (ADC) facility. The contractor will also be expected to meet at ACME Development Corporation (ADC) facility every Wednesday for weekly updates and status meeting. The project reviews will be held at the company’s’ facility. This is to allow for close supervision of the project by the company.

Work Requirements

This project will require the contractor to carry out the performance of work in various stages. The stages include; kick off where the contractor will set the date on when to start the project plan. Design phase where guidelines on installing and configuring the purchasing of a new server and software to run the tool and house the project database will be provided.  Planning stage where removal and disposal of the scheduling tool software and hardware that are no longer used will be strategically carried out. Training phase-where hiring of the training entity to teach the students the mechanics of using the new tool and hiring tool usage experts to transfer knowledge to the project management students’ about the use of the tool on the job for the first 60 days after going live will be better explored.  Project closure stage where the contractor will complete all project requirements and provide documentation in accordance with approved project plan for review and approval by the ADC board of directors.

Acceptance Criteria

For the work performance of the project to be accepted at the customer level,  the marketing department of the ADC company will maintain a team of experts to ensure that completeness of each stage is effective and that all the scope of the work has been met with high quality standards.

Other Requirements

The contractor’s team members will submit security forms to ADC’s security department for any necessary clearance. They will also be provided with ADC badges for easy access to the company’s facilities. Where necessary they will be provided access to ADC servers and for any other IT function. The team will also have access to the accounts relating to the company’s IT functions but after completion of the work performance, the accounts will be closed automatically.
