Please note that we value your service at ABC Company and would like to remind you of our corporate-wide Acceptable Use Policy regarding company computers, Internet access, email, and phone usage.

This email serves to inform all employees that its facilities, equipment, materials and communication systems are to be used only for authorized company business purposes. However, occasional personal use by employees of electronic mail systems and the Internet are permitted, within reason, as long as such use is kept to appropriate levels and do not become excessive. In addition, such use of company assets should only be done during the employee’s personal time, such as lunch and other breaks, provided it does not result in any harm or violate the company in any way.

“Excessive” use means any use that interferes with an employee’s normal job responsibilities and/or functions. In addition, company resources should be used to solicit or sell any type of products or services that are not related to the company’s business. Additionally, such use should not result in distracting, intimidating, or harassing co-workers or any third parties.

Employees using company computers, network systems, telephones, Internet access, or other resources must understand this is a privilege granted to employees by company management and may be revoked at any time, due to inappropriate use, which may include (but is not limited to) the following:

  • Engaging in personal business activities or personal social activities
  • Sending chain letters
  • Unauthorized access to protected information
  • Making authorized copies of company data or personal copying
  • Deliberately damaging company files
  • Misrepresenting the company
  • Violating United States laws
  • Engaging in malicious activities
  • Sending or receiving pornographic materials
  • Being involved with partisan politics with company resources
  • Attempting to or succeeding in defeating security systems

This is not an exhaustive list and these issues apply to all company resources and systems. In addition, no employee should assume that he or she has privacy while using company resources. This includes understanding that the company can and will monitor employee use of its resources on a regular basis. This may include monitoring telephone conversations, voice messages, emails, Internet usage, etc. The employee should understand that ownership and access to company resources belong to the company and not the employees. Therefore, no right to privacy is implied and should not be assumed. The company has implemented software to monitor its information systems, which can create and store copies of any phone conversations, messages, files or other information received or sent via its systems.

This policy shall remain in effect for the during of the employees’ working relationship with the company, and any violations of such policy are subject to termination of an employee’s working relationship with the company.

The employees hereby acknowledge receiving a copy of this email by signing and dating the attached acknowledgement. This is to ensure that all employees are informed and that the company is not to be held responsible for any actions taken against an employee who violates any part of the policy.

Management would like to thank each and every one of you for upholding this policy and acting in accordance with its contents, by making wise choices when using company resources and systems and not using them in excess.
