The meeting which I will be reviewing will be based on meeting that took place on 30th November 2010. The meeting in question was based on the review of the department of Agriculture with regards to the infrastructure and the general application of the department’s revenue. The meeting dealt with the manner in which the Agriculture Department utilized its resources in dealing with the public needs and the matters that were related to the department. The members of the agriculture department also provided the necessary recommendations that would be utilized in dealing with a number of issues that may arise in Arizona; such as the inspection of meat sold to facilities that sell the related meat, and the handling of funds in the State. The meeting was conducted in a fairly light-hearted mood as the as the members of the electoral council shared a joke or two prior to the presentation by the agriculture department, which served to create a relaxed mood in the meeting. The administrator was fairly warm and welcoming to the other member of the electoral board as well as the representatives of the Agriculture Department, which seemed to set the tone for the rest of the meeting. The meeting involved the administrator who was Senator John B. Nelson, who was aided by four other senators who formed the rest the members of the committee. The Agriculture Department provided five representatives that would each provide an input as to the operation of the Agriculture Department, which was the primary matter of the meeting, and the auditor department provided two members that would analyze the operations of the department. The department representatives were to present various matters that related to the Department and answer questions from the committee. (Stillman, Reading 3, 2010)
The representatives of the Agriculture Department were fairly informative with regard to the operation of the related department and their answers to the question by the committee were detailed and essential in giving the committee a clearer picture in as far as the matter of the general distribution as well as use of the department funds were concerned. The ideal factor that was beneficial to the representatives was the use of the power point presentation to provide a summarized illustration of the data that the representatives provided.
During the questioning of the representatives, the committee was fairly calm in making their inquiries, which made it easier for the representatives to respond and provide relevant data to the questions. The Administrator (Chairman) mainly focused on asking the relevant questions that would shed more light on light on the factors that were brought up by the department, but was focused on maintaining a friendly or rather calm mood during the meeting. The general aspects of the meeting were encompassed on the matter of the office of the auditor general providing a financial breakdown of how the Agriculture department uses its funding, which would be followed by the Agriculture department providing a response to the matter as well as providing recommendations of the department and how they can provide new means and ideologies that will serve to improve the standards and operations of the Agriculture sector in Arizona.
The general chronological flow of agendas in the meeting was based on the Office of the Auditor General providing a audit report on the matters of the agriculture, which was followed by the department (of Agriculture) providing a response to the presentation and giving recommendations in as far as agriculture development in Arizona is concerned. It was followed up by a response by the Agriculture industry with further recommendations for sunset legislation. After the presentations, the public was allowed to make comments or provide information that related to the meeting. (Arizona State Legislature, 2010)
Based on the flow of the meeting, the agendas of the meeting were well dealt with, which removed the element of controversy or any matter of the meeting being left unattended to or dealt with. This allowed the committee and the chairman to get their queries answered by the representatives in a manner that would illustrate an adherence to order and maintaining a focus on the matters or factors that were part of the meeting. The division of the meeting with regard to the different individuals of the meetings allowed the individuals to address the committee based on different matters that were related to the department.
The aspects of the meeting were similar to the factors that are provided in the element of administrative responsibility and how they must be accountable for the factors that relate to their main focus of operation. A factor of the meeting was based on providing a documentation of the matters that were based on what the agriculture department was dealing, which can be associated with the matter of the administration providing a view or outlook on how the department is operating on dealing an addressing the matters of the agriculture industry. The meeting was a fairly interesting one due to the fact that it was mainly civilized. There are some meetings that may create tension due to the manner in which the meeting can be conducted but this meeting was based on the use of a friendly and fairly light-hearted environment that allowed a simple manner of addressing the issues that were at hand. The meeting was still conducted in a serious in that the information provided was related to the meeting and the individuals involved handled themselves in a dignified manner, but the general manner of the meeting was fairly welcoming to the representatives by the committee, which allowed the smooth flow of the meeting.
