Fast Data Entry Systems, Essay Example

Pages: 2

Words: 470

Essay

In order to implement a fast data entry system, the front end application that inserts data into the tables must provide the necessary information for joining data in the tables together quickly when entering deliveries. While the data can be stored in Microsoft Access, a form designed specifically for fast data entry should be devised so that data entry personnel can quickly insert the required data into the database itself.  For fast data entry to work, the interface must be simple and intuitive. Depending on the type of data entry and the screens used the system should allow for all work to be completed from the keyboard without the need for the operator to have their hands leave the keyboard.

One possible way to handle fast online reporting of the data from the fast data entry system would be to have views built on top of the data that is being entered.  This frees the system to be able to handle primary data entry input while also maintaining a view of how the data is actually structured in the backend.  Another possible option would be to have a warehouse storage location for the data so that after each day the system could upload all the days’ changes into the system for quick reporting.  Overall, many components of the table structure can stay in place.

Furthermore, the tradeoffs are compatible as it is necessary in order to provide the fastest system possible.  While the initial implementation may take longer, the payoff in the end include reduced data entry time for actual data entry and reporting.  The tables can be optimized for data entry and the supporting data can also be manipulated so that it is available faster.

In order to accommodate the actual physical tables in a manner in which the system would be located in different systems in the country the tables could be modified to include a simple location marker or such in order to identify the system of record for the data.  In some cases a name or number field can be added in order to add records.Sofor instance, in looking at the customer table which was located across 3 different geographic areas the system could have a field for the location which would store the location type and the value.  This would not only allow for all data to be put into a convenient database but would aid whoever generates the reports in being able to quickly identify those particular groups by looking at the key.
