As the Event Leader for the fictional trade show and exhibition which after reading the scenario appears to have something to do with the music industry, I would proceed to remedy the five problems in the following ways.
First of all, although the rules for running an exhibition and/or tradeshow that is open to the general public vary widely, there are some basic policies and guidelines that most exhibitors insist upon, due to their need to protect the public while on private property, such as inside an exhibition hall or auditorium. For example, all exhibitors must sign a contract for the use of a specific space inside the exhibition and must limit themselves to displaying and/or selling items or goods related to the theme of the exhibition. Show management also “reserves the right to restrict exhibits that because of noise” or method of operation, “become objectionable” or “detract from the general character of the show” (The Landscape Show, 2012).
Also, all demonstrations “must be confined within the limits of the booth” and exhibitors are prohibited from standing in the aisles to distribute flyers or other materials (The Landscape Show, 2012). Thus, by following these simple rules, the problems related to loud music and vendors standing in the aisles would be eliminated.
As to designing the exhibition floor, the scenario described for this exhibition appears to have aisles on both the left and right sides of the exhibition space. Therefore, in order to solve the problem experienced by the exhibitors on the ignored side of the floor, the exhibition space should be wide open without being confined with aisles or perhaps all of the exhibitors could be lined up along the four walls of the hall, thus creating a huge open space for visitors. If the space is circular, then all of the exhibitors could occupy the outside walls, creating a free-flowing circular space and making access to all of the booths equal and fair.
If an exhibitor fails to adhere to the rules and regulations stated in the exhibition contract, such as playing loud music as a way to draw visitors into a particular booth or standing in the aisles much like an old-fashioned carnival barker, then the exhibitor would be given a warning; however, if the exhibitor failed to heed the warning, he/she would be evicted from the exhibition and forced to give up any and all monies paid in advance to rent a specific space. Also, in line with legal counsel John Reed, an exhibitor would be required to possess the proper license or advanced permission in order to play copyrighted music inside of their booths.
Of course, most exhibitions and tradeshows utilize union workers for setting up and dismantling shows. If a union representative like Fred Meyers is present during either of these times, then he/she has the authority to determine who does the work and for how long. As an added precaution, I would be sure to read the Exhibitor Manual to learn about union rules and regulations concerning union exhibition workers. I would also establish a close working relationship with Sam Smith, the exhibition manager, and the services contractor responsible for hiring union workers to set up and dismantle displays and booths (Casillas, 2010).
Lastly, in order to guarantee that exhibition buyers visit underutilized areas of the show, I would allow signs to be posted in strategic areas of the exhibition space so that buyers and visitors would know that other areas of the exhibition are open and ready to do business. Perhaps in this type of situation, a person dressed up as a famous personality could be hired to draw buyers to other sections of the show.
