I really appreciate your kind words and would like to emphasize the fact that it is supportive and understanding parents like you that make Johnston Elementary School so special. We have always been proud of ourselves to have exemplary relationship with the parents of children who attend our institution and we assure you of our commitment to each and every student’s needs. We strive every day to create the most hospitable learning environment for our students and we always welcome your suggestions.

Our school has very diversified student body. Our student population comes from almost all economic backgrounds, ethnic groups, and social backgrounds. We strive to instill strong values in our students such as equality, mutual respect, hard work, and love for learning. The reason our teachers have been so successful in what they teach is that they complement their teachings with personal examples. Our students know they all have access to equal opportunities and equally fair treatment by their teachers and other members of the school staff. It is our commitment to equality and fair treatment that we set and enforce same rules on all of our students. Of course, we are mindful of the fact that unique circumstances do arise and we leave it to our teachers to use their best judgment when faced with unique situations. We do have policies for events that are foreseeable in nature. These events include but are not limited to:

• Religious holidays
• Sick leaves
• Family commitments such as weddings and deaths
• Travel difficulty (unfavorable weather, icy roads, heavy snowfall)

But we realize there is always a possibility of events that may be unique to certain students. Thus, we encourage our students and parents to come to us if there is a problem they would like to discuss and we will do everything in our capacity to address the issue. I once again appreciate you bringing the matter into my attention and giving us the opportunity to serve your needs.

After receiving your letter, I talked to all of Hillary’s teachers and they had nothing but the nicest things to say about her. Hillary is one of our brightest students and it’s just as you mentioned, she has almost perfect grades history. I have had a detailed discussion with Hillary’s teacher regarding the reading assignment in question. Rest assured, we looked at all the options and their pros and cons.

We believe that keeping Hillary’s detention in place will not only serve school’s best interests but will also be the best thing for Hillary. As fellow teacher, you will agree with us that making things easy for students is not always the best course of action. Part of teaching is to instill strong values in students and teach them respect for rules and regulations. Giving Hillary an exemption will set a wrong precedent and will be unfair to students who completed their readings on time. It will also be a good experience for Hillary in the sense that it will help her deal with failures more effectively in the future and come out stronger as well as more determined. Hillary’s teacher has assured me she will explain Hillary the purpose of detention in a friendly manner to put her at ease and will encourage Hillary to come to her whenever Hillary has a problem.

I hope you will understand our position. I also encourage you to sit down with Hillary and help her understand the issue at hand. All of her teachers have told me she is very intelligent and obedient child and I have no doubt that we together will be able to help Hillary deal with detention in the most effective way possible. If Hillary needs additional help in this course, we will be more than glad to arrange for extra help in after-school hours. You may discuss it with Hillary and encourage her to come to us whenever she believes she could use extra help in difficult courses.
