Summary of Meeting notes

Issue:

The accounts manager of wireless generation company approached me and asked me to prepare a roadmap for the project of training new educators in various school districts. Wireless Generation Company involves itself in creating innovative tools, systems, and services that are meant to help educators teach with excellence. Educators can use the company solutions to easily apply research based, proven practices such as data-informed decision making, differentiated instructions, frequent progress monitoring and need diagnosis, and professional sharing across classroom, grade and school. The company had promised a special training of educators to one of our districts which the accounts manner wanted me to plan for as a project manager.

What decisions were made?

The decisions which were made during the meeting included planning of a three day training session over three months the first one to be during early may, the second training to be early June and the last one in the second week of July. The training will entirely be concerned with training teachers how to use the new software that the company had designed and implemented at the existing public schools in the district.

Next step

The next step after the decisions were made was to develop the road map for the training session. In order to develop the road map I considered priority project items and how to deriver the project on time. I selected a team of four workers to help me develop a deliverable project road map. The team comprised of:

  1. Andres- fulltime member
  2. Caryn- part-time member
  3. Helen- fulltime member
  4. Peter- fulltime member

The selection/ recruitment of the above board members were base on industry participation and a mix of demographics. The board was augmented by Mr. Caryn a part-time member, who, other members identified as a resourceful person in the groups because of his longtime experience in project planning.

Road map

Road map priorities

  • The duration of the training
  • The venue of the training
  • Training materials/ recourses
  • The trainees
  • Training facilitators
  • The training details
  • Type of the training
  • small group instruction
  • coaching strategies
  • differentiation instruction
  • Follow up survey after the training.

Explanation of each road map priority.

Duration of the training

The training is scheduled to take a period of nine days distributed over three months with each training session utilizing three days as follows;

  • The first training session will take place in the first week of May 2012 (1st, 2nd, and 3rd, May).
  • The second training session will also take place during the first week of June 2012 (4th, 5th, and 6th June).
  • The last training session will take place during the second week of July 2012 (10th, 11th, 12th July)

Venue of the training

The training will be conducted at Detroit social hall for all the stated period of time

Training materials/ recourses

The training will consist of power point presentation for tutors and printed materials for the trainees’ reference.

A follow-up survey will also be issued at the end of the training.

Trainees

Trainees will be new educators in the public schools within Detroit district who need the training to teach with excellence using newly invented software.

Training facilitators

Training facilitators will be literacy coaches/experts from wireless generation company across the district. Each training session will consist of 25 literacy coaches.

Training details/ objectives / project deliverables

The training is designed to enlighten public schools educators how to make use of the newly invented software by our company to teach excellently. The training will take nine days but it will be intensive with a day beginning at 8.00a.m and ending at 5.00.p.m. each trainee will be expected to be punctual with penalties accompanying absent without apology and late trainees.

Types of trainings

The training will be divided into three main categories for quick mastering of the training contents.

  1. Small group instruction: the trainees will be divided into small groups (groups of 10) and each group will be assigned a coach. this method of instruction was chosen because it; ensures that each trainee gets a conducive environment for instruction, enhances motivation and generate greater trainee participation, and develops problem solving skills specific to the content of the training to mention just but a few.
  2. Coaching strategies: this type of training will involve application of specific strategies to deriver the skills to the trainees. Because the time dedicated to the training is little, the coaches will be required to apply relevant coaching strategies to ensure that everything is covered exhaustively during the time frame for the training.
  3. Differentiation instruction: the coaches will also use differentiated instruction to instruct trainees because this type of training is student based and involves teachers using different approaches to ensure that the learners get proper avenues for acquiring content, process, construct or make sense of the ideas of the tutor effectively, regardless of diverse abilities. This instruction method will feature in the training because it will address the individual learning needs of the educators. Coaches will adjust instruction to fit skills and experience of each educator in the district.

Each training type will be included in every training session. Every power point presentation will be checked for inclusion of the three training types.

Follow up survey

After the training a follow up survey will be handed to trainees to assess their understanding ability. The survey will contain questions aiming at testing trainee understanding of the content area, objectives of the training and ability to use the software to teach.
