Writing a Professional Email, Essay Example

Pages: 1

Words: 309

Essay

First of all, I will write a more detailed subject line because ‘account’ alone doesn’t tell the recipient what to expect. I will also avoid all capital letters because all capital letters may imply that the sender has been shouting or being rude. I will also start the email on more pleasant note to put the recipient in a friendly mood. I will send the email in multiple paragraphs so it is easy for the sender to understand my message and retain the information. I will also try to convince the sender in a friendly tone instead of coming across as someone who is being autocratic. I would probably have sent this message through a postal mail instead of an email because it is sensitive message and email is not reliable in terms of protecting a consumer’s privacy. Moreover, email could end up in a junk folder and there is no way to ensure that the customer did receive the message.

Subject: Account Balance Due

Please accept our congratulations on maintaining an impressive credit score which demonstrates your history of timely payments. We value valuable clients like you and understand that unforeseen circumstances could happen to anyone.

We would like to assist you with maintaining your credit score and appreciate your cooperation in this regard. As soon as we receive the remaining balance amount of $1,863.45, we will process it immediately to prevent any negative impact on your credit history.

Please do let us know if you may have concerns or questions. We look forward to working with you and thank you for your time.

Note: First of all, I went for detailed subject line. I also wrote email in friendly manner, to ensure cooperation from the customer and emphasized customer’s own benefit in resolving the situation. I also broke down the email in 3 paragraphs to make it easier to understand and retain.
