Business Proposal

The main purpose of this proposal is to focus on the organization effectiveness of Party Plates for the president of the company. Party Plates has recently begun working with a database system known as Microsoft Excel, which has already been a significant component to the company. However, Party Plates is starting to do research on another technology database system, known as Microsoft Access, for the benefits of the company. “The ability to organize, calculate, and evaluate quantitative data is one of the most importantskills needed today for personal, as well as managerial, decision making (Grauer, et, al 2011).”The company will need to learn benefits and disadvantages of both the database software and will also need to understand how Party Plates may benefit from using a particular software. This proposal will summarize the benefits and negatives for both the software, which will give Party Plates a better understanding of which software to choose for the company.  “Retail managers create and analyze their organizations’annual budgets, sales projections, and inventory records.Charitable organizations track the donations they receive, the distributionof those donations, and overhead expenditures (Grauer, et, al 2011).”In both Microsoft Access and Microsoft Excel, an individual can create a Microsoft Word mail merge, which is used to mass-produce address labels for his/her companies.  Also, both database systems allow the individual to “run powerful queries to sort and filter your data. And run sophisticated calculations to derive the information you want.  Also can generate reports on your data and view them in multiple formats (Nelson 2003).”  Both database systems allow users to create web pages that display the company’s data as read-only files, or individuals can access the web pages in an updatable format.

Excel is not a database management system. It is spreadsheet software, and it stores units of information in rows and columns of cells. The most common task performed in Excel is the management of lists such as telephone numbers and personnel data. In comparison, Access stores data in tables that look much the same as worksheets but are designed for complex querying in relation to data stored.So, while both programs work well for managing data, each one has clear advantages depending on the type of data you are managing and what you want to do with it (Nelson 2003).

Microsoft Access has progressed into an efficient and effortless database tool for individuals to learn to use quickly. Microsoft Access is extremely flexible and has the ability to store and preserve active data for the company. Also, Microsoft Access provides easy mathematical equations, such as adding, subtracting and Microsoft Access can easily alter the data once it has been entered.  Microsoft Access also allows one or more users to update tables and records.  However, though this might be a positive in some cases, it may also serve as a negative when dealing with untrustworthy business individuals.  Allowing more than one user to update data from his/her computer may serve as a negative because some individuals working within the company can have negative initiatives, and alter the business income, etc.  However, allowing more than one user to update and alter the companies database system can also be a benefit for the company, because two individuals can work within the database at the same time, which can ultimately help the company with time management by doing two tasks at once.

Microsoft Excel allows individuals to calculate formulas and numerical equations within the database automatically; therefore no calculators or no pen and papers are needed.  Microsoft Excel allows individuals to organize his/her calculations within the database without constant errors and/or miscalculations.

Performing calculations using a calculator and then entering the results into a ledger canlead to inaccurate values. If an input value is incorrect or needs to be updated, you have torecalculate the results manually, which is time-consuming and can lead to inaccuracies. Anelectronic spreadsheet makes data-entry changes easy. If the formulas are correctly constructed, the results recalculate automatically and accurately, saving time and reducing roomfor error (Grauer et, al 2011).

Party Plates will soon realize that Microsoft Access is the better decision for the company for several reasons. For example, Microsoft Access exemplifies a better choice for data storage because it is much easier to create databases and preserve the information in Microsoft Access. However, in Microsoft Excel it is more difficult to store data within the database system because Excel demonstrates a cutting and pasting concept within the system, therefore if an equation is pasted wrong, the whole spreadsheet is calculated wrong. Also, when entering text in Microsoft Excel, if the cell is not active than the information will not be stored. Though, I believe that both programs should be used for specific aspects within the company, I feel that Microsoft Access may benefit the company more than Microsoft Excel. Especially, since it is easy to convert material from one program to another, therefore the company can benefit from both programs.
